Project Management
Project managment in media is the role of ensuring all aspects of a given production run smoothly by overseeing a number of people and departments. The project manager must ensure that deadlines are met and the brief is followed by liasing with others and holding them to account.
Key traits of a project manager
- good communicator
- calm
- team work
- displine
- negotiation
- time keeping
- creative
- organisation skills
- analytical
- budgeting
- leadership
These are different methods for project management:
- Project management software e.g. Monday.com, online excel, Teams
- Spreadsheets e.g. offline excel
- Production schedules Gantt charts, To do list, (by having everything online it can be shared to people)
Production scheduals:
- The best way to manage media projects is to create a PRODUCTION SCHEDULE. This brings together logistic and resource details and includes all tasks, milestones and the time-scales and deadlines and allows the tracking of progress
- This is shared with all members of the production team and contains details of the initial proposal, key milestones agreed with the client as well as final deadline
Tasks/activities– actual jobs that need doing (order it in what needs to be done first)
Deadlines – the date when these tasks must be completed
Milestones – identified point to be reached within the project
Contingencies – Back up plan/ideas; alternative option
Resources – things you need to complete the task
Gantt chart:
- The most popular project management tool
- Helps to organise and oversee the progress of a project
- Becoming increasingly sophisticated
- Traditionally made on a simple excel sheet
Gantt Charts
Advantages:
- Very efficient as it keeps track of all the different key areas and is therefore organized clearly (tasks, deadlines, milestones, contingencies)
- Good way to manage workload and team members
- Able to see when a project should be finished and can communicate this to the client/higher positioned members of the team
- Easily accessible to all members of the team
Disadvantages:
- Very time consuming to produce, therefore could become a time constraint.
- Can be confusing to interpret/understand. Especially if team members have never seen one before.
Online calendar (Teams? Outlook?)
Advantages:
- Notifies a team member/the project manager when a deadline needs to be met or if it has been missed.
- Free to produce
- Visual representation of deadlines and tasks
Disadvantages:
- You are reliant on the Wi-Fi/data. Without this, you can’t access online calendars.
Excel spreadsheet (OFFLINE)
Advantages:
- Easily accessible without the use of the internet, which makes it more reliable.
- Can be used as a personal document, meaning you can make a separate document to keep track of your own tasks and deadlines.
- Easy to use/user friendly
Disadvantages:
- Instant access isn’t possible, because it’s saved locally to the users own computer/laptop. This means that project members don’t have access unless it is e-mailed to them.
Advantages:
- Document is saved via auto-save, meaning all modifications/updates are saved instantly.
- As it is produced online, project members/clients/project manager have instant access on any device (this helps with portability). Any changes/updates made can be viewed by everyone instantly.
Disadvantages:
- Limited to accessing it on Wi-Fi if you want to make changes or view it
- Easily hackable if the document isn’t protected
